Retinue helps you during meetings by listening live, producing useful context, and saving the notes and follow-up material you choose to keep. This policy explains what we collect across the Retinue website, iOS app, Mac app, backend services, and beta downloads.

Who We Are

Information You Provide

We collect information you provide directly, such as:

  • Account details, including your email address and authentication provider.
  • Website signup or waitlist details.
  • Support messages, bug reports, and diagnostic information you send us.
  • Billing, plan, and subscription status where payments are enabled.
  • Calendar or meeting context if you choose to connect or provide it.

Meeting Audio, Transcripts, And Outputs

When you start a Retinue session, Retinue processes meeting audio so it can transcribe speech and generate live prompts, definitions, research, claims, notes, summaries, memos, and suggested follow-ups.

Retinue does not store raw meeting audio. Transcripts, generated outputs, session history, action receipts, and notes may be stored so the product can show your history, prepare summaries, and continue helping after a session ends.

You are responsible for using Retinue in a way that respects meeting participants, applicable laws, and any workplace or customer confidentiality rules that apply to you.

AI, Transcription, And Infrastructure Providers

To provide the service, Retinue may send audio, transcript snippets, meeting context, prompts, and generated content to trusted service providers. These may include transcription providers, AI model providers, backend hosting, database/storage providers, authentication providers, payment providers, analytics providers, Cloudflare hosting and download services, and email routing services.

We use these providers only as needed to run Retinue, diagnose problems, improve reliability, process payments, deliver downloads, or provide the features you request.

Analytics And Diagnostics

Retinue may collect product analytics and diagnostics to understand setup, reliability, onboarding, crashes, session start/end state, opened or dismissed cards, coarse usage counts, and performance.

Analytics should not include raw audio, full transcripts, prompts, AI responses, or meeting content.

Operational logs may include technical identifiers, timestamps, device/app version, error messages, and limited diagnostic context needed to keep the service working.

How We Protect Data

Retinue uses reasonable technical and organizational measures to protect your information. Stored protected meeting content is designed to use Retinue-managed encryption at rest. Access to production data is limited to people and systems that need it to operate, debug, or improve the service.

No internet service can be made perfectly secure, and beta software may change quickly. If you believe something has gone wrong, contact us at [email protected].

How Long We Keep Data

We keep account, session, and generated content for as long as needed to provide Retinue, maintain your history, comply with legal obligations, resolve disputes, and operate the service.

If you delete your account or ask us to delete your data, we will delete or de-identify stored Retinue account and session data unless we need to keep limited information for legal, security, backup, or operational reasons. Provider logs may remain until their normal retention periods expire.

Your Choices And Rights

Depending on where you live, you may have rights to access, correct, export, delete, object to, or restrict use of your personal data. You can contact us at [email protected] to make a request.

You can also choose not to start listening, disconnect integrations, stop using beta builds, or delete your account if you no longer want Retinue to process meeting content for you.

International Processing

Retinue and its providers may process information in the United Kingdom, United States, European Economic Area, and other countries where our providers operate. Those countries may have privacy laws different from where you live.

Children

Retinue is not intended for children under 16. Do not use Retinue if you are under 16, and do not submit information about children unless you have the right to do so.

Changes

We may update this policy as Retinue changes. If we make material changes, we will update the date above and, where appropriate, provide additional notice in the product or by email.

This policy is written to be understandable, not to replace legal advice. We expect to refine it as Retinue moves from beta to broader availability.
